Preface This guide describes the features of Kofax Export Connector for ERP (KEC-ERP). User Interface Notes The user interface and access paths in this guide may differ from those in your environment. The terms Export Connector and Release Script appear interchangeably. What appears depends on the version of Kofax Capture that you have installed.
Preface Use the tools that Kofax provides for researching and identifying issues. For example, use the Kofax Support site to search for answers about messages, keywords, and product issues. To access the Kofax Support page, go to www.kofax.com/support. The Kofax Support page provides: ▪ Product information and release news Click a product family, select a product, and select a version number. ▪ Downloadable product documentation Click a product family, select a product, and click Documentation.
Chapter 1 Overview KEC-ERP provides a link between Kofax Capture and SAP. KEC-ERP sends images and metadata to SAP and retrieves information from SAP for validation purposes. KEC-ERP is part of an invoice processing solution and interacts seamlessly with Kofax Capture. KEC-ERP also has an open architecture that integrates with other scenarios, for example, order processing. General KEC-ERP Features ▪ Enables the release of metadata to SAP.
Overview Scenarios The ArchiveLink interface defines several scenarios for storing documents. KEC-ERP supports what SAP calls: ▪ Incoming Documents: existing documents that are sent to SAP. ▪ Outgoing Documents: documents created by SAP and stored in the content server. KEC-ERP supports the following scenarios for incoming documents: Store with Barcode (formerly called Late Archiving with Barcode) In this scenario, the SAP object is created before the image is stored in the content server.
Overview Store with Subsequent Entry Kofax Export Connector for ERP (KEC-ERP) passes the image to SAP and starts a posting workflow. The supported transaction codes are FB60, FV60, FB65, MIRO, MIR and MIR7. Store with Subsequent Entry involves the following steps: 1 2 3 4 Scan the document in Kofax Capture. Create metadata in the recognition engine. KEC-ERP creates a workitem in SAP and links this workitem to the released image.
Overview KEC-ERP creates workitems for these transactions. An SAP user must use transaction code SBWP to process these workitems. The window looks similar to the following: This example shows that the user has one workitem ready for processing. This workitem contains everything required to create a valid SAP business object: metadata, link to the image and transaction information. If the user processes the workitem, SAP displays the linked image and starts the required transaction (for example, FB60).
Overview The following is a sample of transaction FB60: In this example, KEC-ERP released the Invoice Date and the Amount. SAP displays an error message at the bottom of the window and does not accept the posting period. Advanced Recognition technologies combined with validation in Kofax Capture ensure rapid processing of workitems. The metadata enters SAP already corrected and the process requires minimal manual intervention. KEC-ERP includes the following features for workitem creation.
Overview Validation Kofax Export Connector for ERP (KEC-ERP) can access SAP data from any Component Object Model (COM-aware) scripting language. You can create: ▪ SBL or AAF Validation scripts that access data directly in the SAP system ▪ Custom Modules for retrieving information from SAP (for example, a custom module for automatic validation) ▪ Any other program that needs access to SAP data The following illustration shows how KEC-ERP works. You must provide the scripts and the custom function modules.
Chapter 2 Integrating with SAP This chapter describes how to integrate Kofax Export Connector for ERP (KEC-ERP) with SAP. KEC-ERP enhances Kofax Capture, stores documents, and launches workflow items in SAP. You can either enter index data manually or use KEC-ERP OCR and text analyzing utilities to collect index data. SAP components (for example, SD, FI, HR, and MM) store documents through the base component ArchiveLink (BC-AL).
Integrating with SAP Overview Kofax Export Connector for ERP (KEC-ERP) is part of a solution for invoice processing and interacts seamlessly with Kofax Capture. KEC-ERP has an open architecture and can integrate with other scenarios (for example, order processing). The following graphic shows a simple Kofax Capture workflow with KEC-ERP. 1 KEC-ERP calls a special function module (Z_DICOM_DOC_URL_CREATE) that returns a URL to the content server to store the image.
Integrating with SAP Image Upload The function module creates an SAP object that is linked to the image. 1 KEC-ERP calls the function module Z_DICOM_DOC_URL_CREATE. This function module is essentially a wrapper to the standard SAP function module SCMS_DOC_URL_CREATE. 2 The SAP function module Z_DICOM_DOC_URL_CREATE uses the settings of the content repository as defined in OAC0 to create a URL that can be used to put a file to the content repository.

Chapter 3 Licensing This chapter describes the licensing facilities that are available with Kofax Export Connector for ERP (KEC-ERP). Talk to your Kofax representative to order new licenses and modify your existing licenses. Kofax offers the following license types: ▪ Light - releases only images, does not release metadata; does not support XFT Queue Manager or metadata for the Store for Subsequent Entry scenario.
Licensing Demonstration and Test Licenses Demonstration licenses offer the full functionality of all three license types, but stamps each page with an imprint. However, you can also purchase a test system license that is not available for use in a production system. This license costs less than the license for the production environment, and does not stamp pages with the imprint. Backup License You can also purchase backup licenses for disaster recovery on high-availability systems.
